In Microsoft Outlook, PST files are not only used to archive emails but also all other data such as contacts, calendar entries, and tasks. PST stands for Personal Storage and thus it can be described as a personal data container that contains a simple backup of your files used in Outlook. You can easily save a PST file to an external data carrier for later import.

Create an Outlook PST file in a few steps

To create a PST file in the latest versions of Outlook, such as Outlook 2016, Outlook 2019, and Outlook 2021, and back up your emails in this way, only a few steps are required:

  1. In your inbox, select New Items, More Items, and finally Outlook Data Archive.
  2. Enter the desired file name.
  3. If you want to protect the PST file with a password, check the Add optional password box.
  4. After clicking the “OK” button, you will be prompted to enter a password twice after first selecting the checkbox.
  5. The data file is now displayed in the folder bar on the left. Subfolders can be added by right clicking.
  6. You can copy or move emails and other files to these folders. The copied or moved data will be saved in the created PST file.

How can I copy an entire folder to a PST file?

You can copy an entire folder to a created PST file as follows:

  1. In the list of folders on the left, right-click the folder you want to copy to the PST file (eg Inbox).
  2. Select “Copy Folder”.
  3. A window will open in which you can select the desired destination folder in the PST file. Confirm the selection with «Ok». The copy process has already started.

How can I export all emails to a PST file?

To export all emails to a PST file at once, the following steps are required:

  1. Click on “File” at the top left.
  2. Click on “Import/Export”.
  3. In the window that opens, select the entry “Export to file”. Click “Next >”.
  4. Select the file type “Outlook Data File (.pst)” and click “Next >”.
  5. Choose the folder you want to export. Optionally, the “Include subfolders” checkbox can be activated. Click “Next >”
  6. After you have first selected the desired storage location via “Browse” and then an option (by default “Replace duplicates with exported items” is active), confirm the process with “Finish”.

How can I import a PST file or open it in Outlook?

You can import a PST file or open it in Outlook as follows:

  1. Click on “File” at the top left.
  2. Click “Open and Export”
  3. Select the entry “Open Outlook data file”.
  4. In the window that opens, select the PST file that you want to view in Outlook.
  5. Confirm the process after selecting the file with «Ok». Now the PST file will appear in the folder bar on the left.
